In POS2013, I have a non-inventory item with a quantity on hand, How can I fix this?

In QuickBooks Point of Sale 2013 and earlier versions, you could end up in a situation where an item is created as a non-inventory part, has ended up with a Quantity on Hand, and the program will not allow you to change it to an inventory item.

You could try doing a return voucher for the 1 item, but that does not work.

You could try to do a Physical Inventory, or an Inventory Qty Adjustment, but these fail as it is a non-inventory part

In the Pro version and Multi-Store, there is something you can do.

Edit the item, then edit the Style.

In the Style edit, you can change the Quantity to 0, Save, then go back to the items list.

This should zero the Quantity, and allow you to edit the item to make it an Inventory Item.

Intuit, the makers of QuickBooks, Enterprise, TurboTax, Quicken and QuickBooks Point of Sale, have just released the r-9 update for the QB POS program.

To get an idea of what has been changed; Intuit has provided the following information:

 

Release (R9)

 

Mobile Sync

  • Error in mobile sync referencing a sync token mismatch has been resolved.

MAS

  • Merchant accounts will now stay linked properly.

Items

  • Item search will now return acurate items when using the search option in the Item list.

 

Release (R8)

 

Mobile Sync

  • Items using a longer ID will now sync correctly to the Point of Sale software from GoPayment, reducing the inventory accordingly.

MAS

  • Improved security when typing in the last four numbers of a credit card number
  • Voided tranactions will now be batched out as voids.

 

Release (R7)

 

MAS

  • Resolved an issue where in certain situations the Merchant Services Center was reporting duplicate transactions. Note that this was a display issue only, there were no actual duplicate transactions performed.

Financial Exchange

  • Credit and debit batch times have been changed to 12:00 a.m. local time (for the merchant, Pacific Time for Intuit), to reduce interference with retail business operations.
    • This change is effective immediately for credit card transactions.
    • The change will also be made for debit card transactions within the next four business days. Until the change is completed for debit transactions, batching will continue to occur at 3:00 p.m. local time.
  • Issues relating to remote stores potentially displaying breakout incorrectly after financial exchange with QuickBooks have been fixed.
  • GoPayment transactions will now be grouped together in QuickBooks reconciliation after financial exchange.
 

Why does Shipping charge sales tax in QuickBooks Point of Sale 2013?

If you add shipping on a sales receipt, there is a determination you need to make as to whether shipping is taxable or not.

It is a question you would need to ask your CPA or state tax department, but there is a setting for this in QuickBooks Point of Sale 2013.

If you go under Company Preferences, go to Sales Tax, and Edit the Tax Location, there is a checkbox which will allow you to make the shipping taxable.

Here you make the setting for Taxable Shipping, and if the shipping is at a different rate, you can tie it to that rate.

How to Fix an Unbalanced Payment error in QuickBooks Point of Sale
During a financial exchange you see a message that there were problems sending receipts to your financial program.  The first thing to do is to look at the Activity Log.  In versions 10 and 11 (2013) you can view the Activity log by clicking i=on the Financial menu at the top of the program and select Financial Center.  From there click on the button labeled View Activity Log.  In versions 9 and earlier, click the Financial drop-down menu and select View Activity Log.

Look for a line that contains the message:

      Receipt # "xxx" created on "date" has an unbalanced payment. Receipt "xxx" is skipped from processing.

Normally this happens due to:

  •       Using line item discounts that create decimal quantities on sales receipts
  •       Having decimal quantities on line items in conjunction with Global Discounts on sales receipts
  •       A remote store is selling items that don't have a quantity, creating negative quantity amounts

Here are the steps to fix this issue:

Version 2013 and 10

     For existing transactions causing this issue, please follow these steps:

  1.       Locate and flag the receipt based on the receipt number in the error:
  2.       Choose Point of Sale > Sales History.
  3.       Locate and select the receipt that is causing the error.
  4.       Click I Want To at the top of the listing and choose Show Financial Detail.
  5.       Select Mark this document as successfully sent and click OK.
  In your financial program create a journal entry using the appropriate accounts and amounts to represent the receipt that was causing the error.


Version 6 through 9

   For existing transactions causing this issue, please follow these steps:

  1.       Locate and flag the receipt based on the receipt number in the error:
  2.      Choose Point of Sale > Sales History.
  3.      Locate and select the receipt that is causing the error.
  4.      Click I Want To at the top of the listing and choose View Financial History.

It seems like every time you blink, someone has come up with a new virus, or way to attack your computer.

Those of us that perform technical support work see the results all the time. Systems that will no longer install programs, pop-up messages on every screen etc.

We watch various outlets for tech knowledge and try to stay abreast of the latest threats. One that has surfaced recently is a little bit more than scary.

I first heard about this one from a tech guru that has a radio show, since then I have seen it myself.

As you browse through to a website, suddenly a new screen appears telling you that you need to update your browser ( in this case it was Firefox). Like the tech guru, I had just updated mine from the actual website, so I knew it was current.

The screen that came up was convincing. After a bit of investigation I found that the web address it wanted to direct to was NOT associated with Mozilla or Firefox.

These are called Waterhole Attacks. They will feed malicious software onto your computer to steal your information, or that of your customers.

You need to make sure your Anti-Virus software is up to date. And then I would suggest making sure Windows has been updated.

As for your browsers. Microsoft releases new updates very regularly on the first Tuesday of each month. For Chrome or Mozilla, I would go directly to their sites . The same with Safari.

Understanding how your browser updates is an important tool in keeping yourself and others safe on the web.

 

How can I print the tags from a saved voucher in QB POS v11 (2013)?

In QuickBooks Point of Sale v11 (2013), once a voucher is saved, the option to print tags is greyed out. Once it is greyed, there is not a capability to go back into the voucher and print the tags for the items on it.

There is a work-around.

Go to the Receiving History, and click once on the voucher to highlight it.

The go to the I Want To button, and select Copy.

This will bring a new active copy of the voucher with the same items and quantities on the screen.

From here, go to the I Want To button again and Print Tags is now available.

You can choose All Items, and Document Quantities, and it will print the tags for the items.

Once they have printed, Cancel the voucher and choose ok to Discard Changes.

 Let's take a look at a section of the program that is often overlooked.

 The Customer Center.

 This area gives us some good information about whats happening with our customers.

  It includes information on the current customer trends, and also allows us to do customer related tasks, such as mailing letters, generating email campaigns, or exporting the list.

 If you have a Constant COntact login, you can enter that into the COmpanmy Preferences to link the lists you create to your account for email blast campaigns. Or print out the address labels for mailers.

 I know this has been in the software for a while, but one thing we know with a retail store. Your most effective sales and marketing is going to be toward your existing customers. They know you, and you already have a relationship with them. The idea behind the Customer Center is to make that relationship stronger.
