Once again, the end of the year is upon us. We all know that this can be a hectic time.

I wanted to remind everyone about the Year End Guide that is in the QuickBooks and Enterprise software programs.

The Year End Guide is a checklist for all of the Year End tasks a company normally has to perform. You can check off items, as they are completed and go back to finish additional tasks later.

It is accessed under the Help menu at the top of the program.

What's important about Release 4?

  • Resolved issues with Advanced Pricing and Enhanced Inventory Receiving
  • UI improvements for the Receive Payments and Sales Receipts forms
  • Improved the performance of the Employee/Payroll Center for large files
  • Improved the UI of the Help window
  • Access points for Online QuickBooks Attach Documents have been removed

Bank Feeds
  • Online Bill pay accounts (with no downloads) will now be displayed on the Bankfeeds Center.
  • Direct deposit checks will no longer show as negative in the reconcile window.

Email Sales Forms and Estimates

  • Max number of messages to sync is now set to 3000 at a time to improve performance when trying to send large number of emails using QuickBooks Email.
Enterprise - Advanced Inventory
  • Verify utility has been updated to provide more information for non-posting transactions with a site:bin mismatch.
Enterprise - Advanced Pricing
  • Added an One Time message to let users know when they choose to set the price rule to be an amount higher or lower than the cost.
  • QuickBooks will no longer allow a user to set a quantity discount for item that has percentage rate.
  • Fixed an issue that caused the wrong information to display when a user QuickZooms on a price from the Customer Price List report.
  • In the Price Overrides window, the cost will be blank if the item is not an inventory or assembly item.
Enterprise - Enhanced Inventory Receiving
  • PO/Bill No. column will no longer disappear from Item Receipts when you delete a line against a received PO.
  • Modifying the cost of an item used in an assembly while creating a transaction, will no longer cause QuickBooks to close unexpectedly.
Enterprise - FIFO
  • FIFO Cost Lot History report will no longer place item transactions under wrong item header.
Enterprise - Users and Permissions
  • A user without full access permission will no longer be able to open the Inventory Company Preferences and modify "Automatic Cost & Price Updates".
File Operations
  • Opening a damaged company file will no longer display an error code before the internal QuickBooks File Doctor launches. Relevant user information will only be shown if the tool fails to repair the file.
Integrated Help
  • The QuickBooks In Product Help article regarding adding users to a license has been updated.
  • The UI layout has been changed, to facilitate better in product help experience. The help window is now one, moveable, resizable window with improved navigation to self-help and assisted help options.
  • Edit Markup window will display the defaults as it is in the Company preference.
  • Fixed Unrecoverable Error 20054 19633 when opening an account register that is not in the base currency.
New User Setup
  • Fixed an issue that prevented Gmail contacts from importing into QuickBooks.
  • Custom words added to the dictionary will be retained once upgraded.


  • Receive Payments/ Sales Receipts form (Fixes for UI issues):
    1. Customers can now navigate through the Payment method buttons easily using Tab key (avoiding extra key strokes)
    2. Payment buttons now have a Label and tooltip text which denote which Payment method has been selected
    3. Custom Payment methods and Payment methods of type ‘Other’ now appear under the furthest right split control button
  • Fixed an issue that caused QuickBooks to not ask for a complex password when customer payment information is stored in QuickBooks for a Merchant Account Services enabled company file.
  • Improved the performance of the Employee/Payroll Center for large files with many employees and payroll transactions.
  • Fixed an issue that prevented the ability to recall a memorized Payroll Liability Check from the Memorized Transaction List.
  • Alt-N keyboard shortcut will now create a new payroll liability check when pressed while viewing the Payroll Center.
  • Fixed a memory leak that caused performance issues with QuickBooks.
QuickBooks Attach Documents
  • Access points for Online QuickBooks Attach Documents have been removed.
QuickBooks Client Collaborator
  • Client Collaborator will be enabled for Enterprise Solutions Accountant users with an active Full Service Plan.
  • Inventory Stock Status by Site report will display Purchase Orders and Sales orders with no sites. (Enterprise)
  • Fixed an issue that caused the wrong memo to appear on detail reports.
  • From the Sales Rep Summary Report, drilling down on the amount for No Sales Rep will no longer display transactions for all Sales Reps.
  • QuickBooks will now filter out search results based on the permission for a user after fetching the data.

Converting a QuickBooks Enterprise Company File to QuickBooks Pro or Premier
According to Intuit's support site, you cannot do it.  Their article on this subject tells you how to export lists from Enterprise and how to import those lists into Pro or Premier.  A tedious task at best.  I worked for Intuit for 10 years and we were always told that you cannot convert an Enterprise file to Pro/Premier.  For years that's what I've told people.  Imagine my surprise when I found out differently!  There may not be an easy way to do it yourself and there is not a utility that Intuit puts out for this purpose but there are other options out there!!  I googled "quickbooks enterprise to pro conversion" and found there are multiple companies out there that will convert your company file for you.  Of course there is a fee involved but the prices I've seen and the turn-around time for the conversion can make it well worth the cost.  I've even seen some that even offer same day service in addition to their normal "next day" service!  If this is womething you are looking to do, check it out.  I would recommend doing a bit of research on both pricing and customer reviews before deciding which company to go with.

QuickBooks and QuickBooks Enterprise, 1099 Misc form changes have been made by the IRS!

The IRS has instituted changes on the 1099 forms. Here is some important information you should know.

  • The IRS changes to the Tax Year 2013 1099-MISC tax form did not include adding any boxes.
  • However, the IRS changes did include changing the format, size and/or position of a number of boxes.
  • It is this reformatting of the boxes by the IRS that will cause the alignment issues when customers on unsupported versions of QuickBooks print their 1099-MISC forms.
  • ONLY customers on QuickBooks 2010 or prior are impacted by these IRS changes and need to consider upgrading or handwriting the forms.

Customers on QuickBooks 2011-2014 are NOT impacted by these IRS changes. They will be able to print their 1099s correctly from QuickBooks.

For Customers in previous versions you have 2 choices:

  1. Fill out the forms by hand.
  2. Upgrade to the latest version of QuickBooks  or QuickBooks Enterprise.

New Feature - QuickBooks Income Tracker

QuickBooks 2014 has added an Income Tracker to their array of features included in QuickBooks Pro, Premier and in QuickBooks Enterprise 14.  It's a convenient way to see all your income-producing transactions in one spot. Even your overdue invoices are quickly and easily pulled up on the screen.

The Income Tracker is accessed from the Customers drop-down menu.  By default, it is only available to the QuickBooks Administrator.  If other users need acces to to it the Admin must edit the rights for that users role to include full access the the Sales and Account Receivables area.  Across the top of the Income Tracker are a series of 5 colored buttons that allow you to look at just the estimates or sales orders for unbilled items, open invoices and overdue invoices in the unpaid catagory and finally a green button where you can see anything paid in the last 30 days.  Fast and easy!! The butons also display the total dollar figure for that particular item type.  Another feature in this Income Tracker is an Action column where you can select from a drop-down list to receive payment, print the row or email that row.  You can even select some or all of the customers shown and batch email them right from the Income Tracker.

How can I do Payroll manually in QuickBooks Enterprise 14.0?

When you prefer to do your own payroll, and not use one of Intuit’s payroll options, finding the switch to do payroll manually can be a little daunting.

In previous versions there was a small blue link to process payroll manually.

In the new version of QuickBooks Enterprise 14.0, the way to activate the preference is through the help files.

If you open the QuickBooks Help, and type Manual Payroll, it will bring a page with a link to turn off the payroll preference in QuickBooks.

For some users, QuickBooks Enterprise 1.0 can take forever to open on Windows 8.

Here is something to try.

Go to your Desktop (Windows key+D) and right click the Enterprise 14 shortcut.

Click on the Shortcut Tab, then click the button that says Advanced.

There will be a checkbox for Open as an Administrator. Place a check in the box and save the change.

This has been found to be helpful in speeding up the opening of the program.
